FieldFlow Licence Terms
These terms apply between FIXFLEX LTD (company no. 08944523, registered office 170 Connell Crescent, London, W5 3BP, United Kingdom) ("we") and the business that buys a FieldFlow licence ("you"). FieldFlow is sold to businesses only. By installing or activating FieldFlow you accept these terms.
1. Licence
- We grant you a non-exclusive, non-transferable licence to install and use the FieldFlow app within your business, on as many devices as your plan allows: Starter — up to 5 workers; Pro — up to 20 workers; Unlimited — no worker limit. The owner's or admin's phone is included in addition to the workers; client (viewer) access doesn't count.
- The licence fee is paid once: Starter £149, Pro £349, Unlimited £699. There are no monthly fees and no per-user fees.
- The app and your data are yours to keep and keep working on your devices with no time limit.
- Sync and updates (our server relaying encrypted data between your phones, and new app versions) are included for 12 months from purchase. After that you can renew for another 12 months at a time: Starter £79, Pro £149, Unlimited £249 per year, at fieldflow.fixflex.co.uk/renew. Renewing is optional. If you don't renew, the app still works on each phone and keeps everything recorded on it, but syncing between phones pauses until you renew — nothing is deleted, and pending changes sync once the licence is renewed.
- A renewal extends the same licence key. Renewing early doesn't lose time: the 12 months are added to your current end date. If the licence has already run out, the 12 months start on the day you renew.
- Online payments are taken by Stripe. Your licence key is shown straight after payment and e-mailed to the address you give at checkout; the Stripe receipt/invoice is your proof of purchase.
- 30-day money-back guarantee: if FieldFlow isn't right for you, e-mail [email protected] within 30 days of buying (or renewing) and we'll refund you in full. The refunded licence key is then deactivated.
- You may not copy, resell, sublicense, reverse-engineer or modify the app except where the law allows it.
2. Your data
You own your data. It is stored on your devices and synced end-to-end encrypted; we can't read it. You are the controller of the personal data you record and we act as your processor under the Data Processing Agreement, which forms part of these terms. You are responsible for telling your workers how you use their data (our template can help) and for having a lawful basis for it.
Because the encryption key exists only on your phones, if you lose every device that holds it, we cannot recover your data. Keep at least one admin device and use the app's export features for your own backups.
3. Acceptable use
Use FieldFlow lawfully and only for your business. Don't try to break, overload or bypass the server's security or licence checks.
4. Support
Support is by email at [email protected], on a reasonable-efforts basis (Pro: priority).
5. Warranty and liability
- We will provide the app with reasonable care and skill. You are responsible for checking figures the app produces (for example pay, CIS deductions, VAT and invoices) before relying on them or filing them with HMRC.
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.
- Otherwise we are not liable for loss of profit, revenue, data or business opportunity, or for indirect loss, and our total liability to you is limited to the licence fee you paid.
6. Ending the licence
You may stop using FieldFlow at any time. We may end your licence if you seriously breach these terms. When the licence ends we will delete your encrypted sync data and device records as described in the DPA.
7. General
We may update these terms; changes will be posted here and will not reduce what you have already paid for. These terms are governed by the law of England and Wales and the courts of England and Wales have exclusive jurisdiction.
